Module “Team”

Zavgar Online is a system for monitoring the remote work of employees, primarily drivers.
In the Zavgar Online software package, the Team module provides two categories of people interacting with the system: users and contacts.
What is the difference between a contact and a user on Zavgar Online?

User is a unit that personifies a company employee, a system user. Depending on the access rights, he has the ability to view, enter, edit, delete data.
A contact is actually a “phone book” of all people associated with the activities of the transport area. These can be both company employees and suppliers or partners.

The contact cannot be authorized, and the user is not only authorized, but also actively uses it.

List of users

User is a unit, representing an employee of the company – the user of the company. Depending on the access rights, the user can have a possibility to see, enter, edit or remove data. 

Enter all the business process representatives into the system:

  • drivers;
  • senior managers;
  • owners of the business;
  • financial-accounting department employees;
  • depot supervisor, responsible for vehicle operation;
  • other employees, for which information from the system will be useful.

Access rights to data can be configured with maximum flexibility.

To display the list of all users in “Zavgar online”, go to “Team” section → “Users”.

What data is displayed in a list of users?

  1. User full name and photo;
  2. Role in the system;
  3. Link to a user card

List of users can be filtered by:

  1. User name, contact details (phone number, email);
  2. Group, to which the user belongs;
  3. Status (active, blocked).

From this list it is also possible to create a new system user.

Go to “Team” section , next “Users”, next “Add a user”

Define access rights for this user.

Distribution of access rights.

“Zavgar online” system has 3 types of users. 

  • Owner — the one who created the account — there can be only one user of this kind.
  • Administrator — he has the maximum possible rights in the system.
  • User — this kind of user can be assigned a role. Therefore, it is possible to create an unlimited number of roles with different access levels.

Select what access rights the person added to the system will receive?

To create standard user rights when creating a user, go to the “Roles and Permissions” tab → select who this user will be. 

What is the difference?

There are standard rights:

Administrator — it is often the owner of the company, executive or the company transportation issues decision-maker. Administrator has full access rights, sees all vehicles and actions performed with them.  

User:

Fleet manager — specialist, responsible for vehicles (mechanic, his assistants, dispatch operators, etc.) Fleet manager has unlimited rights that can be expanded through the “Settings” module.

View only — most often this role is assigned to accounting and finance department of the company. They need only final data and they don’t need to make changes in the system. 

Driver — driver access rights. He can enter data and edit the data he previously entered, but doesn’t have any other rights in the program.

Executives — maximum rights to view data, generated in the system. Rather the role of an observer who makes management decisions based on the values obtained.

Accountant — maximum access to all modules, necessary for the accountant and finance department. 

Partial access — data view.

Define access to vehicles.

Define vehicles, which will be available for this user:

  • full— access to all vehicles;
  • partial — access only to vehicles, to which this user was assigned;
  • no access – no vehicles will be available for this user.

Save access rights by clicking the “Add” button in the upper right corner. 

User card.

Each user has his/her own card in the system. It has all contact details and “Zavgar online” related information about the person. To go to the card click on “eye” icon:

The following information is displayed in a user card:

  1. Photo of a user;
  2. User full name;
  3. Account type;
  4. Email and phone number, added during registration;
  5. List of monitored vehicles;
  6. Pictures and other files, added to the user (drivers license, permits, etc.);
  7. Links to the main tasks, for which this user is responsible;
  8. “Edit user” button.

Contact list.

The contact cannot log in into the system, and the user not only logs into the system, but also actively uses it.

When a user is created, the contact is created automatically.

What data is displayed in the contact list? 

  1. User full name and photo;
  2. A link to a user card

  1. User name, its contact details (phone number, email);
  2. Group, to which this user belongs;
  3. Type of contact (supplier, driver, accountant, etc.);
  4. Status (active, blocked).

Attention!!! When a user is created the contact is created automatically. 

Enter general information.

  1. Enter contact full name;
  2. Enter email (this field is optional);
  3. Select the group, to which this contact belongs (this field is optional);
  4. Select the type of contact. The following options are available by default:

A) Driver;

B) Employee;

C) Supplier;

D) Mechanic.

Enter additional information. (all the fields are optional)

  1. Driver’s license number;
  2. Driver’s license expiry date;
  3. Position;
  4. Phone number/WhatsApp.

Upload the files for this contact

Scans or pictures of driver’s license, permits, etc.

Contact card.

Each contact has its own card in the system. Contact information and information about the person, related to “Zavgar online” is stored on it. To go to the card click on the “eye” icon.

  5. Link to issues, raised by this contact;
  6. Pictures and other files, added to a user;
